Propertova keeps the books for people who manage their own rental properties. That means it holds information about you, your properties and your tenants. This page says what is collected, what is done with it, where it lives and what you can ask for.

What {brand} collects

Your account: name, email address, the company name and contact details you choose to show on reports, and your plan. Your properties: addresses, units, leases, rents, deposits, who pays which costs, expenses, bills, payments and the reports made from them. Your tenants: names and the contact details you enter or that appear in the documents you upload. Tenants are people; their information is personal information under the laws that apply to you, and you are responsible for having a proper reason to hold it. Your documents: the leases, bills, statements, rent rolls and photos you upload. Usage: which pages you open and when, errors, and the number of document pages read each month, so the app can be run and billed. No advertising trackers.

What {brand} does with your documents

Documents are read to fill in your books: a lease becomes units, rents and dates; a bill becomes an expense; a bank statement or cheque becomes payments. Everything read is a draft until you approve it on a review screen beside the page it came from. Totals, recoveries, statements and projections are calculated by Propertova's own code.

How documents are read

When you press Read document, the file is sent to a document-reading service run by Anthropic (the Claude API) with instructions to pull out the dates, amounts and terms. The same service writes the weekly briefing's opening, the draft letters and the answers on the Ask page, from figures Propertova computes first. The service is used under terms that do not allow your documents or their contents to be used to train models. Anthropic keeps each request for up to 30 days for safety and security, then deletes it. Only the file you chose is sent, only when you press the button, and only the structured result comes back. Propertova never logs the contents of your documents.

Where your information lives

Data and files are stored with Supabase in Canada (Canada Central). Files are private: links to them are created for you on demand and expire within minutes. The application runs on Vercel. Backups follow the provider's schedule. Every table is protected so one account can never read another's rows, and this is tested automatically.

Who sees it

Nobody but you and the people you add to your account. Propertova does not sell or share your information. It uses the providers named above (Supabase, Vercel, Anthropic) to run the service, and an email provider to send you sign-in links and the messages you ask for. Nothing is ever sent to a tenant, a lender or an accountant by Propertova: reports are files you download and forward yourself. Tenant contact details are never shared with anyone.

How long it is kept

For as long as your account exists. Exported reports are kept as frozen copies until you delete them from the Exports page. When you delete your account, your data and files are deleted; backups expire on the provider's schedule.

What you can ask for

At any time: a copy of your data (an export as ZIP and Excel), corrections, or deletion of your account and everything in it. Tenants may ask you for the same about their own information, and you can give it to them from the app. Write to support@propertova.com.

Cookies

Only the cookies needed to keep you signed in and remember your language. No advertising cookies, no third-party trackers.

Changes

If this policy changes, the date at the top changes and you are told the next time you sign in.
